SAP-to-Excel inventory reconciliation

I designed an initial VBA approach to transfer SAP inventory quantities into an Excel physical-count sheet. The work established the source, destination, and matching requirement, but implementation and testing were still outstanding.

The starting point

Employees manually transferred SAP quantities into the counting workbook by jewelry category. I investigated whether Excel could populate the SAP quantity row automatically and allow the existing discrepancy calculations to compare it with physical counts.

My responsibility

I reviewed the SAP report and counting template, identified the quantity field and destination cells, developed an initial macro concept, and outlined the configuration and test work still needed.

2Worksheets: SAP export and physical count

Identifying the source and destination

The workbook used two sheets: the physical inventory count and the SAP inventory report. The counting sheet organized jewelry categories such as bracelets, earrings, necklaces, pendants, rings, and watches.

The SAP report contained merchandise categories and stock information. I identified Column D, Unrestricted Use, as the source quantity and Row 23 on the counting sheet as the SAP quantity destination under each category.

Designing the proposed macro

The proposed VBA macro would read the SAP export, match merchandise categories to the counting sheet, and populate the relevant cells. The intended user flow was to export the SAP report, paste it into the source sheet, run the macro, and review discrepancies.

I outlined installation in a VBA module and saving a macro-enabled workbook. I also explored browser automation and Google Apps Script as alternatives, without implementing those options.

Finding the configuration gap

The initial code assumed matching category names in Column A on both sheets. The actual counting template had a different layout, so that assumption needed correction before the macro could be used.

The remaining work was to map categories, configure the correct quantity and destination cells, test against the actual SAP export, and verify the discrepancy calculations.

Outcome

A defined concept with validation still required

An initial automation design with a defined workflow and a known category-mapping dependency. It was not implemented or tested, and no savings or error reduction were measured. This concept was separate from the SAP-native automations and the mobile inventory prototype.
